We use Penelope as our main case management system. It addresses our need to go paperless and have one central system for all of our case notes. It also allows us to work from home or in the office and always be able to update our calendars. We use this system for every case that we see.
  • It is very intuitive.
  • When you forget to fill in something it points it out in a clear and easy-to-understand note.
  • Client notes are very easy to add.
  • The feature for the date of birth times out too quickly.
  • You can't upload any files that may have a symbol such as a . in their title.
  • The learning modules could be more concise making it faster to find the help you need.
We have used some terrible software in the past. Penelope is a breath of fresh air. The counselors can easily input their notes and reschedule a client. They don't leave sections blank because the system tells them what is missing. The "are you sure" reminders are a nice feature just double checking things for you. We have not found a scenario where it is less appropriate to use Penelope.

We use it to document services and invoice for social services and financial support we offer to individuals living with a mental illness or disability.

  • we are a private pay company - so we need invoices that make sense to private payers not managed care company's. Penelope by Social Solutions has been exceedingly difficult with this goal.
  • Too many logins our admin also has cases she /he supports so that's two log-ins right there. Then there are log-ins for tickets, online training sites for basic Penelope by Social Solutions functionality, sandbox instances, and training databases mocked up like our system. We are constantly stymied by this as it feels impossible to track.
  • Also, there are way too many contacts that "handle" our organization - we are never contacting the right person for whatever issue we are experiencing.

We use Penelope for our client database. The database keeps track of clients' information, address which allows our workers just one place to go to see all of the client's information. Workers can just go into Penelope to upload their case notes when seeing a client. Our quarterly reports can be done [with] a click of a button in Penelope

We have to use Penelope to document our clients' information as well as any related services that we provide to the clients. We also use Penelope to book appointments and to keep track of client expenditures.Our entire organization is required to use Penelope. I would not say that it addresses any business problems but Penelope helps our organization keep track of the services we provide to our clients.

Penelope by Social Solutions is well suited for offices that have high caseloads and need efficiency and ease of use along with security and a fully digital store of information. However, Penelope is only less appropriate when it is time to delete an error that has already been uploaded and the user is unable to do so, which is not time management friendly.

Penelope is being used in our local office on a daily basis by our Date Intake Coordinators and Case Managers.

  • Visual Display is easy to read (the way things are laid out on a page).
  • Initial learning curve of how to maneuver through different pages is high.
  • Being able to edit errors instead of having to re-enter them & delete the error would be great!
  • Being able to tab through all documents instead of just a selection.
  • Having primary contact's name auto fill throughout & not have to re-type it.
  • Having a drop down menu for household names throughout all docs & once selected will autofill ages, date of birth.
Good for organizations that deal with collecting info on people & making notes on them. I like how you can have it open on more than one tab & multiple users can be in one client at once.

Penelope is being used across the whole organization. It addresses the ability to document client related notes, organizational spending as related to clients, and issues within the agency that are directly client related.
  • It is user friendly in the sense that it is generally simple to use for those that are not used to using systems to maintain client based data.
  • It would be more helpful to be able to delete items when they were added by error without having to have the administrator do this, which takes quite a while. There are times when a user knows a mistake has been added/uploaded immediately and it would be much more beneficial/time managing to be able to remove that item immediately instead of waiting for the administrator to get back to the user at their earliest convenience. This causes many mistakes to continue to occur.
Penelope works well with maintaining notes for encounters with clients and allows you the ability to explain direct meetings. Penelope also allows you to keep track of each financial transaction you make with each client for reimbursement purposes as this is extremely important to the services we provide as well as documenting all of the encounters we have with our clients. Penelope is only less appropriate when it is time to delete an error that has already been uploaded and the user is unable to do so, which is not time management friendly. This has happened multiple times as documents are extremely important and can easily be uploaded in the wrong area in Penelope but cannot be removed by the user once they have been uploaded. The user must then ask the administrator to remove it and this often takes a significant amount of time and sometimes may not even happen. This has lead to more than one document being uploaded, one of which being incorrect.

It is currently being used by the SSVF, ESG, and HVRP staff. Penelope lets case managers, program managers, and directors to maintain an accurate database of clients that we are working with. It is used from the beginning of them entering one of the programs all the way through them exiting the program. It has been able to be adapted to each individuals job, while ensuring everyone is completing the required forms.
  • It allows for workflows to created depending upon the situation.
  • It is easy to use. If there is an error it will tell you where the error is at, so you can correct it.
  • It is adaptable for the role of the person working with the system.
  • When there is an error with a number, it only tells you there is an error is does not tell you what it is or where.
  • At times when you sign the documents it does not register that they have been signed.
  • When you upload a document, it does not want to navigate back to the original form. Sometimes you have to go back to the home screen and start over.
Penelope is great when being used for case management systems. It is helpful in being able to maintain all of the documentation in one place. By being able to upload items like expense reports to the client's files we are not having to worry about keeping a paper copy. This helps cut down on the amount of paper that we use. If there is an issue with something in Penelope the built in messaging system allows us to communicate about it.

It is only used within 3 locations of Volunteers of America SE: Warner Robins and Columbus, Georgia and Birmingham, Alabama. We assist veterans with housing and utility assistance as well as assisting them with employment needs which may include employment searches. We monitor their progress by using a form called the Individualized Employment Plan which is uploaded into Penelope.
  • It gives notifications well. Allows us to know when we have passed a deadline or who we have missed in calling for case update.
  • Tracks all personal information very well.
  • Allows to track and dates our notes.
  • Able to upload documents that may be necessary at a later time.
  • We are not able to delete past discussions. At this time, I have over 1,000 discussions that I wish I could delete.
  • For the main page where it lists all of our case loads, not able to sort by only a certain group of people. They are all together: Active cases and Follow Up cases.
  • Occasionally, I may get an "Error" message and it will not save my work.

Penelope by Social Solutions is being used at my job every day. We do not approve any of our cases unless we enrolled them into Penelope. The program is self-explanatory and so simple to understand where our documents need to be uploaded. Before Penelope, our company had to handwrite documents over and over, but with Penelope, we are able to save time and trees with just a push of a button.

I would love to recommend Penelope to other companies because it is efficient and there are no real bad hassles. Being able to upload documents and already having documents uploaded in the systems helps coworkers and clients to be organized for the future. The only downfall to Penelope is when mistakes happen such as uploading the wrong document, may take forever to get removed because you have to wait on your supervisors to remove it.

VOASE’s VA-funded SSVF grant in Birmingham, AL, uses Penelope to track our client load from day to day and annotate how much funding they’ve received for housing and other benefits through the program. We also keep track of client notes and notes about community outreach. We use it to digitally sign off on VA-mandated paperwork as well. All SSVFs in VOASE utilize Penelope. However, outside of that purview, I’m unaware if other VOASE programs use it.
  • The calendar function allows employees the ability to keep track of their work schedule and allows program managers to know where their employees are in the event they need to reach them.
  • The automatic calculations on the documents populated takes the guesswork out of adding or subtracting government funds spent.
  • The ability to track clients’ new enrollment iterations under the same client file is extremely convenient.
  • The lag time between a client enrollment and when their documents populate in the workflow is particularly lengthy.
  • The log out feature is great for confidentiality purposes but also becomes a pain if you haven’t save a document and become distracted from completing it in a timely manner.
It is a wonderful program for case management and I could see it being used in the legal or medical fields as well. For jobs that have more administrative roles, this would be well-suited but not as much for hands-on, tactile workers say, for example, a railroad worker or someone like a doctor. However, their administrative assistants would find it appealing.

I think for tracking clients' progress and funding authorization, [Penelope by Social Solutions] works as well as it is designed to. I do get frustrated when I have to attach multiple documents and can do it only one at a time. As well as having to delete the period or substitute it in the documents’ titles.

We currently use Penelope by Social Solutions for our case management system for multiple federal grants centered around homelessness and prevention. Our services are offered to veterans and non-veterans experiencing homelessness or are at-risk of homelessness. Our programs cover multiple states and counties across a large geographical area. Penelope by Social Solutions allows us to have a web-based database to create case files, case plans, and case notes on a daily basis without the hassle of paper files.

The workflow and trigger abilities along with customizable forms and projects allow an organization to utilize Penelope by Social Solutions with different programs, funders, and management trees. Overall excellent system that can be utilized in the office setting or in the field via multiple platforms.
